While voiding a claim is uncommon, you may need to do so for the following reasons:
- Incorrect Information: A claim was submitted with errors, such as the wrong Date of Service (DOS) or incorrect rendering provider.
- Amended Claim: A claim was submitted, but an amended note and claim were later generated by the provider. In this case, the amended claim should be submitted instead of the original. You will know when the original claim needs to be voided if you see the following message within the Billing Queue: "There is an existing submitted claim that is not in an actionable state. Please wait for the claim to move to 'Ready To Submit' or 'Needs Attention' before processing this amendment, or move it to 'Do Not Bill'."
Steps to Void a Claim:
-
- Go to Claims > All.
- Filter by Patient Name.
- Click on the DOS to open the claim.
- In the Actions menu (top right), select Void.
- If this is a Medicare claim, you'll be prompted for the original reference number—this is also known as the ICN available under History
- The claim will now appear in the 'Ready to Submit' bucket with the status 'Void'.
- If corrections need to be made to the claim, you can now do so before resubmitting it.
- If an amended note needs to be sent out, you can proceed within the Billing Queue.
- Go to Billing Queue.
- Click on the DOS.
- Select Actions > Send.
