Statements can be sent to patients electronically via email or text OR mailed via paper. Please note that statements can only be sent on balances that are ready to be collected on. Ready to collect balances are claims that have been sent and adjudicated by the payer and have indicated a PR amount remaining on the claim. To find balances and send out statements, please read below.
Viewing Patient Balances
To find balances navigate to Reporting > Claims > Patient Statements > Patient Balances.
This report includes the following columns, all of which can be filtered:
Patient: the patient’s name
Locations: the clinic location(s) associated with the outstanding balance
Billed Amount: the total amount sent out on the claim
Applied Adjustments: the amount of applied adjustments
Insurance Paid: the amount insurance has paid toward the claim
Patient Paid: the amount the patient has paid toward the claim
Credit Balance: the amount currently in the patient’s credit balance
Remaining Balance: the remaining outstanding balance on the patient’s chart
Last Invoice Date: the date of the patient’s most recent invoice
Days Since Last Invoice: the number of calendar days since the patient’s most recent invoice
Sending Patient Statements
Statements can be sent in bulk or on the individual patient level.
Bulk Invoicing
Electronic patient invoices can now be created through Stride Reports for individual and multiple patients through bulk action.
Once claims have been moved from ‘Charge’ to ‘Collect,’ you will be able to utilize our new feature. Invoices can now be sent to patients electronically via email or text. Paper invoices continue to be an option.
Go into Reporting > Claims > Patient Statement > Patient Balances.
From here, we can now create an electronic and/or paper invoice for a single patient balance, or for multiple patients at a time.
To create an invoice for an individual patient, we select the box to the left of the patient name and then click ‘Create Invoices’.
Once the patients you wish to create invoices for have been appropriately selected and you have clicked ‘Create Invoices’ you will receive a pop-up where you can choose to apply patient credit balances before generating the invoice(s).
After applying or not applying the patient credit balances, click Next.
At this point, you will see a new pop up where you need to select the detail level of the invoice, as well as the Invoice Method.
Click Submit.
Once statements are created, you can view the history of which statements were generated under Reporting > Claims > Patient Statements > Invoice Batches.
Individual Invoicing
Statements can also be sent directly from the patient's chart.
Navigate to the Patient Charts and select More.
Select Patient Statements > Ready to Collect.
If you wish to bill out all claims that are ready to be collected on, select Create New Invoice > All Ready to Bill.
Once selected, you will have the option to apply credit balances if needed.
You will then be prompted to select the invoice method and enter an individualized memo.
You will be able to view all invoice history for this patient under the Patient's Chart > Patient Invoices.
